Scheduled reports

A scheduled report emails your workspace’s headline figures, with any CSV files you choose attached, on a schedule you set: every day, every week or every month. The people you send it to do not need a LearnBoard login. Scheduled reports are set up by workspace administrators, from Admin console, Scheduled reports, on plans that include them.

At a glance

  • Choose how often, which day, what hour and which time zone.
  • List up to 20 email addresses. Anyone listed receives the figures and the files.
  • The headline figures are always in the email. CSV files are optional.
  • The report is built as you, so it holds only what your role can see.
  • Send one straight away with Send now, or pause it with its switch.
The New report form on the Scheduled reports screen with name, frequency, time, time zone, recipients and CSV choices
  1. Open the Admin console with the cog at the top right, then Scheduled reports.
  2. In Your reports, press New report.
  3. Report name: it starts as “Weekly overview”. Change it to something your readers will recognise.
  4. How often: Every day, Every week or Every month.
  5. For a weekly report, choose the day in On. For a monthly report, choose the date in On day, from 1 to 28.
  6. At: the hour it goes out, and Time zone: the zone that hour is in. The time zone starts as your browser’s.
  7. Send to: the email addresses, one per line or separated by commas.
  8. Attach as CSV: tick the files to include.
  9. Press Save report.

Reports are sent within fifteen minutes of the hour you choose, in their own time zone.

The headline figures, always: Total users, Active learners in the last 30 days (with the change on the previous 30 days), Courses, Enrolments, Completion rate and Active cohorts. The words mean the same as on screen; see the definitions.

The CSV files you ticked, attached. The choices are:

From the Executive overview

Activity trend, Top courses by enrolment, Completion funnel, Enrolment vs completion, Learners at risk, Certificate issuance, Average quiz score, Engagement by category.

From other screens

Inactive users, All courses.

New reports start with Activity trend, Completion funnel and Learners at risk ticked.

The Your reports table shows each Report with its schedule (for example “Every Monday at 8am”) and what it includes, who it is Sent to, the Next send, the Last send, and an On switch.

  • Send now sends the report immediately, without changing its schedule. A message confirms what happened.
  • On switch: turn it off to pause the report. A paused report shows Paused under Next send.
  • Edit report: change anything, then press Save changes.
  • Delete report: confirm, and nobody will receive it again.

Last send shows Sent with the time, Not sent yet, or Not sent: with the reason, for example when the figures could not be read from the learning platform at that moment.
