Frequently asked questions

Short, direct answers to the questions people ask most about LearnBoard, with a link to the full explanation for each. They are for anyone using LearnBoard or deciding whether to.

  • Data and safety: LearnBoard only reads Moodle, never changes it, and keeps each workspace separate.
  • Numbers: most differences from Moodle come from staff being left out, a broader completion rule, hidden activities and time zones.
  • AI: the assistant only reads, answers within your role and groups, and does not send people’s details as rows.

LearnBoard is analytics for Moodle. It turns your Moodle site’s own data into ready-made dashboards, cards and charts, with an AI assistant that only reads, your own custom dashboards, and a Moodle plugin that shows LearnBoard charts inside Moodle.

Can LearnBoard change or delete anything in Moodle?

Section titled “Can LearnBoard change or delete anything in Moodle?”

No. LearnBoard only ever reads. Every statement is checked before it runs, the connection refuses writes, and the database session is set to read-only. Through the plugin, Moodle runs its own check as well. See security and privacy.

No, not when it reads your site or database directly. Your learner data stays in Moodle. LearnBoard saves the figures it works out, so screens open quickly, and keeps them for your workspace only. If you choose to upload a copy instead, that copy is loaded into a private space for your workspace.

Which Moodle versions does LearnBoard support?

Section titled “Which Moodle versions does LearnBoard support?”

Moodle 4.0 to 5.3, on a MySQL or MariaDB database. See Moodle versions and requirements.

Does LearnBoard work with PostgreSQL or Microsoft SQL Server?

Section titled “Does LearnBoard work with PostgreSQL or Microsoft SQL Server?”

Not yet. The plugin installs on any database Moodle supports, but LearnBoard can only read Moodle sites on MySQL or MariaDB.

Not always. You can connect LearnBoard to your Moodle database directly with a read-only account, or upload a copy. The free LearnBoard plugin is the easiest way, because your database stays closed, and it also puts LearnBoard charts on your Moodle pages and lets people sign in from Moodle. See the Moodle plugin section.

What is the difference between learners and user accounts?

Section titled “What is the difference between learners and user accounts?”

Learners are distinct people with an active student enrolment. User accounts are every account on the Moodle site, staff and people with no enrolment included. That is why Total users is larger than any learner figure.

Why does LearnBoard show a different number from Moodle?

Section titled “Why does LearnBoard show a different number from Moodle?”

Usually because they count different things. LearnBoard leaves out staff, suspended enrolments, courses your workspace hides from analytics, and activities and quizzes hidden in their course. It counts each learner once per course, uses a broader completion rule, and splits days on your workspace’s time zone. See why LearnBoard can differ from Moodle.

Completion rate is completed enrolments divided by enrolments. It is a share of enrolments, not of people. See completion rate.

An enrolment is completed when Moodle has a course completion for it, when every tracked activity shown in the course is done, or when a certificate was issued in that course. Any one of the three is enough. See completion rule.

Each learner gets a score from 0 to 100 from four equally weighted signals: days since last sign-in, course progress, recent grades and drop in activity. High is 60 or more, Medium 40 to 59 and Low below 40. “At risk” counts High plus Medium. See risk score and bands.

Why is a learner who has not signed in for months not at risk?

Section titled “Why is a learner who has not signed in for months not at risk?”

Because they have finished every course they are enrolled in. With nothing left to complete, their score is 0 and they are in the Low band, however long ago they last signed in.

Activity in the last 30 days. Any logged activity counts, a sign-in included. See active.

No. A person with a teacher, non-editing teacher, manager or course creator role in a course is staff in that course, and is left out of its learner and enrolment figures. Cards that count user accounts or sign-ins do include staff, and say so on the card.

Are hidden courses and hidden activities counted?

Section titled “Are hidden courses and hidden activities counted?”

A course hidden in Moodle is still counted. Only courses on your workspace’s Excluded course IDs list are left out. Activities and quizzes hidden inside a course are not counted anywhere.

LearnBoard saves the figures it works out and updates them in the background. Your workspace Admin sets how long they stay fresh under Data freshness. Every data screen shows Last updated, and Refresh works the figures out again. See saved figures and freshness.

Your workspace’s time zone, set under Reporting configuration. If none is set, LearnBoard uses the Moodle site’s time zone when it can read it, and otherwise its own default. Days split at midnight in that zone. See time zones.

Can the AI assistant change data in Moodle?

Section titled “Can the AI assistant change data in Moodle?”

No. The assistant can only read. Every query it writes passes a stricter safety check, then runs on the same read-only connection as every screen. It cannot enrol anyone, change a grade, send a message or change a setting. See the AI assistant and your data.

Does the AI provider see our learners’ personal details?

Section titled “Does the AI provider see our learners’ personal details?”

Not as rows. Results that identify people, such as names and email addresses, reach the AI provider as a count only, and so do card figures that name people. The provider receives your question, a description of Moodle’s table structure, and the figures needed to answer.

Can a team lead see learners outside their own groups?

Section titled “Can a team lead see learners outside their own groups?”

No. A Team lead sees only the people in their own Moodle groups, in the courses they lead, on every screen they open and in the AI assistant. See team leads.

Only themselves. A Learner sees My Learning, their own progress, and can ask the AI assistant about their own records. They cannot open any workspace-wide screen. See learners.

Admins and Managers, on plans that include CSV export. Viewers, Team leads and Learners do not see the download buttons. See the roles matrix.

Yes. LearnBoard works in a current phone or tablet browser, and LearnBoard charts inside Moodle stay readable on a phone. See browsers and devices.

Open Profile & account from the account menu, choose Set up two-factor sign-in, scan the QR code with an authenticator app, type the code it shows, and save your recovery codes. See two-factor sign-in.

730 days by default. The audit log is available to workspace Admins on plans that include it. See the audit log.

Your workspace’s plan does not include the pack that screen belongs to. Locked screens stay in the menu so you can see what exists. An Admin who manages billing can choose View plans & upgrade; upgrading unlocks it with your existing data. See plan-locked screens.

Yes, on plans that include it. A workspace Admin adds an OpenAI or Anthropic key under AI keys in the Admin console. The key stays on the server and never reaches a browser.

Choose Download PDF on the screen, then choose Save as PDF in your browser’s print window. Charts come out as they look on screen. See saving a screen as a PDF.

Does LearnBoard hide figures for small groups?

Section titled “Does LearnBoard hide figures for small groups?”

No. A group of two shows as two. The people who can open these screens are already allowed to see the individuals behind them.

A workspace Admin deletes it from Your subscription with Delete this workspace. It is locked at once, and any Admin can restore it within 7 days. After that, its people, data and settings are removed. A card subscription is cancelled when you ask.

Can one person belong to several workspaces?

Section titled “Can one person belong to several workspaces?”

Each account belongs to one workspace, and every figure it sees is from that workspace. An email address that already has a LearnBoard account in another workspace cannot be invited again: the invitation is refused, and the person can accept with a different address instead.
