First-week checklist for workspace admins

This checklist is for the administrator of a new LearnBoard workspace. It puts the setup jobs in a sensible order across your first week, so that by the time your colleagues sign in, the figures are right and each person sees what they should.

At a glance

  • Day one: protect your account and connect your learning platform.
  • Next: check the figures and tell LearnBoard how your organisation is organised.
  • Then: invite people, set up alerts and reports, and build a dashboard to share.

Every step happens in the Admin console, behind the cog at the top right, unless it says otherwise. The details of each Admin console screen are in Set up your workspace.

  1. Turn on two-factor sign-in for your own account. Open your picture at the top right, then Profile & account, and press Set up two-factor sign-in. Save the recovery codes it shows you. See Your account.

  2. Connect your learning platform. The setup walkthrough offers Connect your learning platform first; you can also use Data sources in the Admin console. Install the free Moodle plugin and paste one code, or connect a read-only database user, or upload an SQL dump. Nothing else in LearnBoard has data until this is done. See Moodle plugin.

  3. Open the Executive overview and look at the numbers. Check the data source named in the bar under the top bar is the one you expect. Read the headline tiles and open the i on a few cards to see what each one counts.

Days two and three: make the figures right

Section titled “Days two and three: make the figures right”
  1. Reporting configuration. Decide which enrolments count, how completion is defined, and whether groups that share a name across courses are one cohort or several. Getting this right early stops the same cohort appearing repeatedly in filters.

  2. Groupings. Set up the programmes, campuses and learner categories your organisation uses. These become the choices in the Groups filter on every screen. See Filters.

  3. Certificate setup and Mandatory training. If you track certificates or required training, say how long each certificate stays valid, and which courses are required for whom and by when. Certification Expiry and Mandatory Compliance read these.

  4. Data freshness. Choose how long figures stay current, how often open screens check for newer ones, and how often the screens your team uses are updated in the background. See Data freshness and live data.

  5. Choose your sector pack if your plan includes one. A notice says Your plan includes a sector pack that is not in use. until you do. See Plans and locked screens.

  1. Branding. Upload your logo and set your colours, so the workspace looks like yours before colleagues arrive.

  2. Invite your team. In Users, invite each person by email and choose their role. Give people who only need to read the figures the Viewer role, and people who need to download them the Manager role. See Roles and what each person sees.

  3. Teachers and team leads. If they will sign in from Moodle, they do not need an invitation: the Moodle plugin signs them in and LearnBoard limits them to their own groups. See Signing in.

Set up an alert

On Alerts, press New rule, for example when the share of learners at risk goes above a level you choose. See Alerts.

Schedule a report

In Scheduled reports, send the headline figures and chosen CSV files to anyone every week. See Scheduled reports.

Build and share a dashboard

Pin the cards your leadership team cares about to one dashboard and share it with them. See Custom dashboards.
