People who sign in from Moodle

People can reach LearnBoard in two ways: with an account a workspace administrator invited, or by signing in from Moodle through the LearnBoard plugin. A person who arrives from Moodle is linked to their Moodle user automatically, and that link is what lets LearnBoard show a learner their own progress and limit a team lead to their own groups.

At a glance

  • There is no screen for linking accounts by hand. The link is made when someone signs in from Moodle.
  • Accounts created this way show as From Moodle in the Type column on Users.
  • Which LearnBoard role they get is set in the Moodle plugin’s role mapping, then narrowed by what Moodle shows about them.
  • A person leading courses becomes a Team lead and sees only their own Moodle groups.
  • Invited accounts that sign in with a password have no Moodle link, so My Learning has nothing to show for them.

When per-user sign-in is switched on in the LearnBoard plugin, LearnBoard charts in Moodle show figures as the person looking at them, and staff get a one-click Open LearnBoard link that signs them into the full LearnBoard app with no second password. Turning it on is a Moodle setting; see the Moodle plugin section.

The first time someone arrives this way, LearnBoard creates their account in your workspace, linked to their Moodle user. It is not a password account: it can only be reached from Moodle.

1. The plugin's role map decides first

In Moodle, the plugin’s role mapping turns Moodle roles into LearnBoard roles. It offers every LearnBoard role except Super Admin. When a person matches more than one, they get the role with the most permissions. Mapping someone to a role that can change settings is allowed, and is recorded.

2. Without a mapping

Staff (site administrators, managers, course creators and teachers) get a read-only view, and everyone else gets the Learner role.

3. Then Moodle narrows it

Only a site administrator or a site-level manager keeps the read-only view of the whole workspace. A person who leads courses becomes a Team lead. Anyone else is a Learner.

A Team lead is a non-editing teacher, a course-level manager or a company manager who signs in from Moodle. They open My team, their own My learning, and a set of the reporting screens, and every figure they see is limited to the people in their own Moodle groups. They have no CSV exports and nothing about staff, costs or configuration.

  • On Users, a Team lead’s role shows as “Team lead” with how many courses they lead, and in how many of those they see only their own groups.
  • This is set from Moodle each time they sign in, so it cannot be changed from the Users screen. Changing it there would be undone at their next sign-in.
  • LearnBoard also reads team leads’ courses and groups again from Moodle every night, so someone moved to another group is updated without signing in.

You can also give staff from a partner organisation a view limited to particular Moodle cohorts. Members of a staff cohort then see only the learners in the cohorts you choose, on every screen, in LearnBoard and in Moodle. This is set on Groupings, needs per-user sign-in on in the plugin, and applies from their next sign-in.

My Learning is a person’s own progress, assessments, activity and certificates. It always shows the signed-in person’s own records and can never be pointed at anyone else. The Learner role sees only this page and the AI assistant.

Because it is matched to the person’s Moodle user, it works for accounts that came from Moodle. A password account that was invited has no Moodle link, so its My Learning page says “No learning profile linked yet” and “Your personal learning analytics appear here once your account is linked to your LMS sign-in.”
