Plans and locked screens

Every LearnBoard workspace is on a plan, and the plan decides which sections of dashboards and which features the workspace can use. This page explains what you see when something is not included, for everyone in a workspace. It does not cover prices; for those, see the plans page on the LearnBoard website.

At a glance

  • The plan belongs to the workspace, not to the person. Everyone in a workspace sees the same locks.
  • Locked screens are never hidden. They stay in the menu, greyed, with a padlock.
  • Opening a locked screen shows what it is and how to unlock it, with your existing data: nothing to re-import.
  • Only a workspace administrator can change the plan.

The screens are grouped into packs, which follow the sections of the menu:

Insight

The core screens: Executive Overview, Users & Engagement, Course Performance, Course Readiness, Assessments, Reports & Analytics, Learners at Risk, Learner Profiles, Completion Funnel and Cohort Comparison.

Universal

Completion & Certification Trend, Course Effectiveness Scorecard, Assessment Analytics Deep-Dive, Time-to-Completion, AI-Generated Insight Summary and Course Feedback.

Skills & Capability

Competency Matrix, Certification Expiry, Training ROI, Skills-Gap & Workforce Readiness and Pathway Progress.

Sector packs

K-12, Higher Education, Corporate & Enterprise, Government & Public Sector, and VET & RTO.

A few screens belong to the platform rather than to a pack: the Compliance report, the AI Assistant, Alerts, Personal Dashboards and My Learning. A plan can still leave out the Compliance report or Alerts. The AI assistant is limited by the plan’s AI allowance rather than by a pack.

A plan can include a number of sector packs for you to choose from. Until an administrator chooses which sector the workspace is in, those packs stay locked, and administrators see a notice: Your plan includes a sector pack that is not in use. Press Choose a pack to pick the sector that matches your organisation. Its dashboards open in the menu straight away, and you can change the choice at any time.

A locked LearnBoard screen with a padlock, the plan name and buttons to compare plans or go back

In the menu, a locked screen is greyed with a padlock, and hovering it says not included in your plan. If every screen in a section is locked, the section’s tile wears the padlock too. You can still click it.

The screen then shows, instead of its cards:

  • the screen’s name and is locked;
  • Part of the pack name pack, not included in your current plan., or This dashboard is not included in your current plan. when only that one screen is withheld;
  • which plan the workspace is on, and that Upgrading unlocks it with your existing data: nothing to re-import.

Then the ways forward:

  • View plans & upgrade: shown to workspace administrators, and opens the workspace’s subscription.
  • Compare plans: opens the plans page on the LearnBoard website.
  • Back to Executive Overview.

Besides screens, a plan can leave out some features. Each one says so where you would use it:

  • CSV export. The download button on cards becomes a grey padlock button. Hovering it says CSV export is not included in your plan. See Download CSV.
  • Alerts. The Alerts screen and the bell in the top bar. See Alerts.
  • Scheduled reports. See Scheduled reports.
  • Sharing dashboards. A plan sets how far a dashboard can be shared: with people one at a time, with whole roles, or with everyone in the workspace. The share window says when a choice is above the plan. See Custom dashboards.
  • Number of personal dashboards a workspace may keep.
  • AI questions. A plan can allow a number of AI assistant questions per calendar month for the whole workspace. When they are used up the assistant says so; everything else keeps working. See AI assistant.

A few notices can appear across the top of the page:

  • Trial. The plan’s name, trial, and how many days are left. With no card on file, the workspace returns to the Free plan when the trial ends. Its data and dashboards are all still there afterwards; only the screens the trial opened up wait for a plan that includes them.
  • Learner limit. From 90% of the number of learners the plan covers, the workspace is told it is approaching the limit, and from 100% that it is past it. Everything still works.
  • Figures have stopped refreshing. From 120% of the limit, the dashboards keep showing the last figures loaded, but new data is not added until the count is back within the plan. The bar under the top bar then says Figures paused until the workspace is back within its learner limit.

Each notice can be dismissed with its close button.

  1. If you are not a workspace administrator, ask yours. Only they can change the plan.
  2. Administrators: press View plans & upgrade on the locked screen, or open Admin console, Your subscription.
  3. Choose the plan or the sector pack that includes the screen. It opens with the data you already have.
